Booking Terms and Conditions

Please read through our booking terms and conditions before booking 

*All basic rooms are double rooms with double beds and en suite bathrooms.  Our deluxe rooms come with 1 double bed, one single bed, extra space, garden view and en suite bathrooms. Please note that our first Zanzibar trip is a small group of people (maximum 12), if you choose package 1 we will require you to share a double bed with one other person. We are happy to pair you with your roommate prior to the trip. If you have any questions please get in touch at theblacktravellerscollective@outlook.com

*Due to us being a new company and Zanzibar being our first trip, we are unable to include flights, however, we are more than happy to advise you on the best and least expensive options.

 

*Please note that as we have seen in recent years with the global pandemic, some things are out of our control, thus the schedule of the trip can change at any point in time. We will do our absolute best to stick to the schedule provided; however in the event that our itinerary should change, we will keep you informed.

 

*The activities we plan on this trip may be subject to change. It may be occasionally necessary for us to make changes and we reserve the right to do so at any time. For example, if we have planned clear water Kayaking and the waters are rough we may have to change it to another day. 

 

*Everybody who books onto our trips must purchase travel insurance prior to the trip. We require you to show proof of your travel insurance prior to the trip.

*Please make sure you check the most up to date covid restrictions prior to booking. We are not responsible for Covid related issues.

UNDERSTANDING YOUR CONTRACT 

​

Please read through all of the Terms and Conditions carefully. You must not make any booking unless you understand and agree with our Booking terms and conditions. 

 

BOOKING TERMS AND CONDITIONS

​

These booking terms and conditions apply to online bookings you make on our website [theblacktravellerscollective.co.uk]. 

A contract on the terms set out in these Booking terms and conditions will exist as soon as we issue a confirmation invoice after receipt of your deposit(1) OR the full payment of your trip balance(2). 

References to “us”, “we” or “our” mean THE BLACK TRAVELLERS COLLECTIVE LTD, Company number 14674105 (trading as “ The Black Travellers Collective LTD). Our registered office is at 128, City Road, London, EC1V 2NX, United Kingdom.

REGISTRATION 

​

Once a deposit is made and you receive a confirmation email from The Black Travellers Collective, registration is complete and your spot has been reserved on the trip. If you have chosen to pay by agreed payment plan, the deposit for the trip is non-refundable after 48 hours of reserving your place. The total cost of the trip must be paid by the final date in the payment plan (or by an agreed date in writing).

PRICES, PAYMENTS AND CANCELLATIONS:

PRICES

​

All prices are fixed and can not be negotiated. Prices are per person and inclusive of tax unless otherwise stated. 

Accommodation is based on double beds unless otherwise stated. To reserve your accommodation your deposit must be paid. All deposits are non-refundable after 48 hours of booking. 

For bookings made less than 90 days before departure, full payment is required at the time of purchase; no deposit or payment plans will be offered. 

 

PAYMENTS

Card (credit or debit cards)

We accept most major debit and credit cards. You authorise us to charge all amounts payable by you in relation to the services provided to the card designated by you. If payment is not received from the issuer for any reason, you agree to pay us all amounts due immediately on demand. 

PAYMENTS IN INSTALMENT 

When you choose to pay for your trip balance in instalments, we will either set up an automatic subscription payment, taken out on the agreed upon payment schedule, from the card details you have provided to us at the time of your deposit payment. If any payment of your instalments is not received from the issuer for any reason, you agree to pay us all amounts due immediately on demand. Or we will send you payment link on the agreed dates for instalment payments. Once you receive the payment link you are expected to pay the amount due to avoid late payment fees. Please make a note of your agreed payment dates to avoid late payment fees.

IF YOU CANCEL YOUR BOOKING 

​

You may cancel your travel arrangements at any time before the trip departure. However please note you may lose part or all of your money paid. The cancellation fees will be an amount determined below, except where otherwise indicated. 

If the reason for your cancellation is covered under the terms of your travel insurance policy, you may be able to reclaim these charges from your travel insurer. 

Refunds will only be made available to the person named on the booking payment receipt. Under no circumstances are deposits refundable, after the initial 48 hour booking period.

If you have paid in full, your non-refundable deposit is included in this payment.

Unless otherwise indicated, the following cancellation fees apply to package bookings:

REFUNDS AND CANCELLATIONS 

​

Trips released 6 months or more before it is scheduled to take place:

CANCELLATION FEE

​

More than 6 months: deposit only 

6 months - 90 days: deposit + 50% of booking fee 

Less than 90 days: full booking value (0% of your booking value returned)

If upon cancellation, your spot is successfully filled by another client, we will make a full refund excluding the deposit. Written notification from the lead-named traveller must be received in writing at theblacktravellerscollective@outlook.co.uk  

You may be able to reclaim cancellation charges under the terms of your insurance policy. Claims must be made directly with your insurance company. Once the trip has begun, no refunds can be made. All prices are based on group bookings, therefore, no refunds will be made on any parts of the itinerary in which you do not wish to participate.

LATE PAYMENT FEES

​

We will outline payment deadlines in our initial emails and it is your responsibility to make these payments on time. We completely understand that life can be unpredictable so we do offer grace periods, please see below. 

We offer a grace period of four days after payment due date to make your payment. 

First late payment - after the grace period of four days we will add a £30 late fee to the balance owed after that. 

Second late payment - after the grace period of four days after the due date, a £40 late fee will be added to the balance owed after that.

Late payments of 14 days or more: If a payment has not been received after 14 days after the due date and no payment arrangements have been made with the Black Travellers Collective in writing, you will forfeit your space on the trip in question. The Black Travellers Collective reserves the right to keep all monies paid as a cancellation/ non-payment fee after 14 days of non-payment 

If you need a payment extension, please send us a message with as much notice as possible. As long as you communicate with us we are happy to discuss alternative payment plans. Get in touch with us before your payment is due and we can have a chat. 

Refunds will not be provided to late payments over 14 days!

ITINERARY CHANGES AND CANCELLATION 

​

Our itinerary is planned far in advance, thus it may occasionally be necessary for us to make changes and we reserve the right to do so at any time. 

Changes may be due to weather conditions, country conditions and other factors beyond our control. 

If a trip must be delayed, or the itinerary changed due to unforeseeable circumstances such as weather, transportation delays, political turmoil, the cost of delays or changes is not included. 

In the extreme and unlikely event that the trip has to be cancelled, we will refund the full paid amount, excluding the deposit promptly. 

We will not, however, be responsible for any expenses incurred in preparation for travel or the trip experience, for example your flights. All our trips require you to purchase travel insurance in case there are any adverse events.

TRAVEL INSURANCE 

​

Everyone who books onto our wellness retreats must have appropriate travel insurance that covers both trip cancellations and interruptions. We also ask that your insurance must also include medical cover and personal accidents. 

We ask that your travel insurance protects you for the full duration of the trip, this should include at least medical expenses, injury, death, repatriation, cancellation and curtailment with adequate and appropriate cover including medical emergency helicopter repatriation. 

It is your responsibility to check that there are no exclusion clauses limiting or excluding protection for the type of activities in your trip. As well as this, it is your responsibility to check that the insurance you purchase meets your particular personal personal requirements and you should arrange supplementary insurance if necessary. 

It is your responsibility to ensure you have valid travel insurance that covers and is appropriate for your needs. We will not be liable for any loss you incur if and insofar as you can claim for damages under a travel insurance policy. 

You are required to carry proof of insurance with you and produce it if reasonably requested by us or our suppliers. Failure to do so may result in you being prevented from participating in certain activities without the right to any refund.

PASSPORT & COVID-19 REQUIREMENTS 

​

It is your responsibility to ensure that you have a valid passport for any international travel. Many countries require at least six months validity from the date of return. Please ensure that your passport meets the requirements of the trip you’re booking with us. 

To add, some countries also require a machine-readable passport and/or unstamped available pages. When you book a trip with us, we will assume that all travellers on the booking have a valid passport. If this is not the case, you must contact us prior to the trip.

VISA & COVID-19 REQUIREMENTS 

​

You must ensure that you have valid visas and re-entry permits that meet the requirements of immigration and other government authorities (including, visas for transit points).  It is also your responsibility to check the Covid-19 requirements for any countries you’re travelling to with us. This includes Covid-19 PCR/ fit to travel documents or proof of full Covid-19 vaccinations. 

Please note that Any fines, penalties, payments, delays or expenditures incurred as a result of such documents not meeting the requirements of those authorities will be your sole responsibility. 

We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa, Covid-19 or immigration requirements.

SPECIAL REQUIREMENTS AND MEDICAL PROBLEMS 

​

Please advise us of any special requests you may have at the time of booking. Feel free to email us any questions prior to booking to ensure we can meet your expectations. theblacktravellerscollective@outlook.com

Although we will do our utmost best to meet your expectations and pass on your relevant reasonable requests to our suppliers, we cannot guarantee any request will be complied with unless we have confirmed this in writing. 

Please note that we will pass on any special requests to suppliers, however, this is not confirmation that the request will be met. Unless stated in writing and confirmed by our team please understand that it may not be possible. Please reach out to us before booking so we can ensure that it is possible to meet your request. 

If you would like to book with us and you have a medical problem or disability, which may impact your trip with us, please contact us prior to booking your spot so that we can best advise as to the suitability of the chosen arrangements. 

If you would like to make a special request we ask that you provide us with as much information as you can at the time of booking. Unfortunately, if we are not able to accommodate the particular needs of the person concerned we reserve the right to decline the reservation or if you fail to give us the full details at the time of booking, cancel when we become aware.

LIMITATIONS OF LIABILITY 

​

Please note that we assume no responsibility whatsoever for injury, loss or damage to person or property in connection to any services that you choose to book with us. This also includes delays, expenses arising from quarantine, strikes, thefts, failure of any means of conveyance to arrive or depart as scheduled. We assume no responsibility for anything that is out of our control such as, civil disturbances, terrorism, government restrictions or regulations and discrepancies or changes in transit or hotel services disruptions.

PHOTOS AND MARKETING 

​

You consent to us using images of you taken during the trip for advertising and promotional purposes in any way we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable licence to use such images for promotional and commercial purposes.

​

GOVERNING LAW AND SEVERANCE 

If any dispute arises between you and us, the laws of England and the jurisdiction of the English Courts will apply.
